How to access the free 1940 US Federal Census Images when they become available on 2 Apr 2012.

1) Head over to SteveMorse.org and fill out the 1940 Census Quiz. Initially, the images will not be indexed, this will help pinpoint ED (enumeration district) numbers.

2) On 2 Apr 2012, you will be able to view the images by going to http://1940census.archives.gov/. You will only be able to search by ED.

How to find a list of people to search for in the 1940 Census... (Click the software you are using for instructions)

Ancestral Quest - Brother's Keeper - Cumberland Family Tree - Family Tree Maker - Genbox -

Legacy Family Tree:

Update to the latest version (7.5.0.165 added this feature, 7.5.0.166 improved upon it).

Click Search (Magnifying glass)

Click the "Census List" tab

Select United States and 1940 (so the text boxes below the selections will populate)

Click "Print a Census List Report"

If you want to narrow this down to your direct line ancestors only, you can tag your direct line ancestors using Ctrl+T or Edit, Tag

If using this method, first tag your ancestors using Ctrl+T, picking yourself or your starting person, click Ancestors, Direct Line Ancestors and desired options, OK

Type "Direct Line Ancestors" in the Tag1Description box (so you will know why this tag is set), then click Close

Now go back to Search (magnifying glass).

Click "Detailed Search" tab.

Select "Individual", "Tag", "Equal To", "Tagged"

Be sure "Clear list before search" is selected at the bottom and click "Create List"

On the list of individuals, click "Search" at the bottom and click "Find..."

Click "Census List" tab, Choose United States, Choose 1940

Be sure "Only search the search list" is selected at the bottom

Click "Print a Census List Report"

This should now only include your direct line ancestors.

(This tool will also let you type a location such as "Ohio" and it will show you those you may find in Ohio in the US Federal Census)

Update Version 7.5.0.180 Released 29 Mar 2012 has revised the Census List screen with more options.

There are now tabs for Search List Options and Report Options within the screen.

Search List Options Tab:

RootsMagic:

Instructions for RootsMagic 5.0.3.0 (recently released). Bruce has added a report to enter a date and bring up all individuals living in that place at that time.

(If you are running an earlier version, you can scroll past this section to see manual instructions for generating this information).

Click the printer icon to go to the reports screen.

Select "Lists" on the left

Click "Who Was There List" on the right. (It will be the last entry, you may need to scroll down.)

Click "Create Report" button (as shown above).

On the next screen, input the desired options. In our example, we entered "USA", but you can also enter "United States".

Enter the as-of date such as "1 Apr 1940" if you are looking for the 1940 census potential list.

It is a good idea to click "Print married name on date" and possibly "Reverse Place Names" if desired.

Click "Generate Report" button as shown above.

You can now print or save the report for future reference.

(You can also print only results for "Ohio" or even a specific county following these same instructions.)

If you are running 5.0.2.1 or earlier, you will need to follow these instructions.

If you have RootsMagic 4 or 5, you will have the ability to create a "Group". Older versions you can use the Explorer and Find buttons each time.

On the sidebar click the 5th little icon at the top above your name list. This is the named groups section. If you do not see the sidebar, click "View", "Sidebar"

Now, click the "Groups" button (it will be next to the selection box in the area right below where you clicked the small icon to get to the Groups pane.

Click "New"

Click "Mark Group" button

Click "Select people by data fields"

On the search screen, select "Birth", "Date", "Is After", type "1850"

"And", "Birth", "Date", "Is Before", type "2 Apr 1940".

Click OK

Click OK on the "Marked xxx people" dialog box

Now click "Unmark Group" button

Click "Select people by data fields"

On the search screen, click "Clear" at the bottom

Select "Death", "Date", "Is Before", type "2 Apr 1940"

Click OK

Click OK on the "Unmarked xxx people" dialog box

Click OK again

Enter "Possible 1940 Census List"

Click OK

Click the "Printer" icon to go to the reports screen

Select "Reports" on the left

Choose "Custom Report"

Click "Create Report" button

Click "New"

Click the text box next to "Header" under "Column 1" and type "Surname"

Click into the box right below that and type "sur", it should show "Surname"

Click the next box to the right of "Header" under "Column 2" and type "Given Name"

Click into the box right below that and type "giv", it should show "Given Name(s)"

Click "Insert", "Column Right"

Click into the first box below "Column 3" and type "Birth Date"

Click into the box right below that and type "bir", it should show "Birth date"

Click "Inset", "Column Right"

Click into the first box below "Column 4" and type "Death Date"

Click into the box right below that and type "death d", it should show "Death date"

Your screen should look like this:

Click OK

Enter "Possible 1940 Census List" in the name box and click OK

Now click "Possible 1940 Census List" in the box on the left.

Under People to Include, select "Possible 1940 Census List"

Click "Generate Report"

Brother's Keeper:

Version 6.x

This is not a complete list, but it is a start. It will not contain people currently living, only those that are deceased.

I will revise this when I find a better way.

Click Lists

Click Word Search Report

On the "Person by Field" tab, enter the following

Enter "1850==1940" into the Born field

Enter "1940==2012" into the Died field

Click "Create Report"

On the "Fields to Include" tab

Double click "3 name (last, first)"

Double click "4 sex"

Double click "5 birth date"

Double click "9 death date"

Click "Type of Report" tab

Click "Alphabetical"

Click "Page Setup" tab

Type "Possible 1940 Census List" in the Page Heading box

Click "Preview" or "Print" (at the top) to view/print the report.

Ancestral Quest:

Version 12.x

Click Printer icon in toolbar or "File", "Print Reports & Charts"

Click "Custom" tab

Click "Select..." button in the filter box

Click "Define" in the field selections box

Double Click "Birth Date"

Select "Range", Enter "1850" in From box, Enter "1 Apr 1940" in To box.

Click OK

Click "AND" in the center of the screen

Click "(" in the center of the screen

Double Click "Death Date"

Select "Is Greater Than", Enter "31 Mar 1940"

Click OK

Click "OR" in the center of the screen

Double Click "Death Date"

Select "Does not exist"

Click OK

Click ")" in the center of the screen.

The screen should look like this:

Click "OK"

Click "OK" on the next screen as well

You will see the number of individuals in the filter box now.

Click "Fields"

Double Click "Surname, Given", "Sex", "Birth Date", "Death Date"

Click OK

Type "Possible 1940 Census List" into the Title box

Click "Sort Order"

Double Click "Surname, Given"

Click OK

Click "Print" or "Preview" (or select PDF output options) to view/print/save your report.

You can save the search during those steps and/or save the custom report if you wish to run it in the future.

PAF:

Version 5

Follow the instructions for Ancestral Quest above. The screens will look slightly different, but the buttons should be called the same thing.

Here are the screenshots for PAF, as you can see, it is nearly identical in this regard.

The Master Genealogist (TMG):

Click Report (menu)

Click "List Of..."

Click "People"

Click "Filtered Group"

Click "Add"

Select "Birth...", "Date", "<= (Does not come after)", "1 Apr 1940"

Select AND

Select "Death...", "Date", ">= (Does not come before)", "1 Apr 1940"

Select OR

Press button on the start of the second line (that will create the parenthesis)

Select "Death...", "Date", "Is empty"

Select END

Click the small box right before the END selection (this will create the ending parenthesis)

It should now look like this...

Click OK

Click "Create Report"

You can now view the report or click the "Print Report" button to print it.

There may be a few false positives with this report, it can further be refined by adding a BIRTH AFTER 1850 line as an AND condition.

(However, this will also cause it not to display people with blank birth dates, but death dates that could be in range).

Cumberland Family Tree (CFT):

Version 3.51 or higher with new "Advanced Selection Lists" feature. (4.00+ may be needed for some features)

Click Tools... then Global Search...

Click the "Date Search" tab

Start Date: Enter "1850", it will automatically convert to 1 Jan 1850

End Date, Enter "1 Apr 1940".

Events: Select "Birth"

Click Search

On the results screen:

Click the 4th button at the top of the window (S*List)

Type "Include 1940 List"

Click Close (looks like a Door) on this small window

Click OK on the dialog box

Now, click "Search" on the Global Search Results screen again.

Click the "Date Search" tab.

Enter "1 Jan 1850" in the Start Date box

Enter "31 Mar 1940" in the End Date box

Select "Death" in the EVENT box.

Click "Search"

Click the 4th button at the top of the window (S^List)

Type "Exclude 1940 List"

Click Close (looks like a Door) on this small window

Click OK on the "New Selection List" saved dialog

Click Close (Door) on the Search Results window

Click Tools, Selection Lists...

Click "Adv". It is one icon from the right at the top.

Select "Include 1940 List" in the "List 1" box

Select "Exclude 1940 List" in the "List 2" box

Enter "Possible 1940 Census" in the "New List 3" box

Select "Unique to List 1" if it is not already clicked

The screen should look like this:

Click "GO".

Click Close on the Advanced Selection Lists screen

Click Close on the Selection Lists screen

Click Publish, Individual Reports... (or click the Report icon on the main program toolbar)

Select "Standard Individual List" in the "Report" box.

Type "Possible 1940 Census List" in the Title box.

Click the "Select" button in the Selection List area of the screen.

Click on the "Possible 1940 Census" line and click Close (the Green checkmark)

Click "Include IRN" (checkbox)

[If you want to add other fields to the report, you can click fields, otherwise continue]

The screen should now look like this:

Click "Preview" -- the third icon at the top of this window.

Once the report is previewed, you can either print or save it as desired.

LifeLines:

Version 3.0.62

LifeLines is an old Unix application that has been adapted to run in almost any OS, it had many features ahead of its time.

From the main menu (shown above), press "r"

Type "alive" and press ENTER

Type "0" and press ENTER

Type "1940" and press ENTER

Type "y" and press ENTER

Type "PossibleCensus1940.txt" and press ENTER

Open the report in the "Outputs" directory that you named.

This report will contain all users that were possibly alive in 1940.

It will also show the birth/death years along with a list of places they could have been.

(Places will be listed in reverse order, i.e. Country, State, County, City [Place])

Genbox:

Version 3.7.1

Tools menu

Search...

Events Tab

Birth Date - type - "1 Jan 1850 - 1 Apr 1940"

Click Search

This will bring up the "Lists" window with the "Query Results" displayed

Right click on "Saved Lists"

Click "New Individual List"

Double click "New Individual List" that you just created

Type "Census 1940" in the name box and click OK

Click on "Query Results" hold the mouse button down, drag it over "Census 1940" and release the button

Select "Replace Existing List" in the list and click OK

Click back onto the Search window (that should still be open)

Click "Clear All" at the bottom of that window

Death Date - type - "< 1 Apr 1940"

Click Search

You will be taken back to the Lists screen with Query Results highlighted

Click on "Query Results" hold the mouse button down, drag it over "Census 1940" and release

Click "Subtract from existing list (NOT)" and click OK

Your new "Census 1940" list is now complete.

You can make further adjustments if you wish such as looking for a specific area or only United States

Close the Search and List windows using the "X" on each of the windows.

Creating the report, this will take some patience, but it will include nearly everything you need.

Click Reports menu

Select Individuals, Select Basic

You should be on the "Key" tab.

Click "Defaults"

Click "Clear Keys"

Click "Select List..."

Click "Census 1940"

Click "Select List Name"

The box should now show "Census 1940"

Click the "Front" tab

Remove [DATATYPE] in the "Main Title" box and type "Possible 1940 Census List"

Click the "Content" tab

On the right, click "ID" and click "<" in the middle

On the left, click "Spouse" and click ">" in the middle

On the left, click "Event Date", click the arrow next to "All Types" in the middle

Click on "All Types" to uncheck it and click on "Marriage" to check it

Click off of the list, it should now say "Marriage" in the box.

Click ">" in the middle

Clck "Line Break >" in the middle

On the left, click "Event Date", click the arrow next to "Marriage" in the middle

Uncheck "Marriage" by clicking on it, and click "Birth".

Click off of the list, it should now say "Birth" in the box

Click ">" in the middle

On the left, click "Event Date", click the arrow next to "Birth" in the middle

Click on "Birth" to uncheck it and click on "Death" to check it

Click off of the list, it should now say "Death" in the box

Click ">" in the middle

On the left, click "Parent Family" and click ">" in the middle

It should now look like the following:

Click the "Sort" tab

Click "Name" on the left and clck ">" in the middle

Click the "Detail" tab

Change "Source Citations" to "Omit" (to keep the sources from showing at the bottom of the report)

Click the "Format" tab

Click "Short Dates"

Click "Save Options"

Type "Possible 1940 Census List" and click SAVE

(This is so you can load it up later to print or make additional changes)

Click "Make Report"

(It may take a moment depending on the speed of your computer)

You can now print this report or save it as RTF, etc.

Close when done with the small "X" below the larger one in the corner of the window

Close the Report options entry window when done by clicking "CLOSE"

If you need to reopen this report, simply click "Reports"

Click "Open Options File"

Click on "Possible 1940 Census List" and click OPEN

Click "Select List" and choose "Census 1940"

Click "Select List Name"

Click Reload

Click "Make Report"

Family Tree Maker:

Version 2012

(Version 16 and earlier need to use a Custom report and "< " before the date instead of "is before")

Click Publish at the top of the screen

Click "Person Reports" on the left

Click "Index of Individuals Report"

Click "Create Report" button on the right

Click the "Selected Individuals" option

Click "Individuals to Include" button

If this window shows any individuals on the right side, first click "Exclude All"

Click "Filter In >" in the middle of the window

Select "Birth", "is before", Enter "1 Apr 1940", Click OK

Click "< Filter Out" in the middle of the window

Select "Death", "is before", Enter "1 Apr 1940", Click OK

Click "< Filter Out" in the middle of the window

Select "Birth", "is before", Enter "1850", Click OK

Click OK on the selection screen

Type "Possible 1940 Census List" in the report title box on the right

Print or save the report as desired.
